[SJAAboard] Proposed Guidelines for future commitments

Gary cited the same example that Jim did.  I have no interest in getting
involved in the school program.

The following guidelines have been going through my head

1. SJAA will not commit to any event where money is charged.

2. Officers and the school committee may make arraignments on their own
using the SJAA name provided the commitment is on a "best effort basis".

3. Any event that requires a contract or where monetary losses will occur if
we do not show requires the approval of the board.

4. Any event published to the general public requires the board be notified
by the next board meeting.  Keep all correspondence.



This would remove all of the school commitments from oversight.  They do not
meet the criteria of 4.

It says that an event like the Montalvo event would not be permissible under
1.  It would have required board approval under 3.  It is an example of why
the board now reviews the club commitments each month.

The Coyote, Calero, and Glacier Point events fall under item 4. Since the
inviting organization would be publicly embarrassed if SJAA did not show,
the board needs to insure the commitment is covered. The board reviews
commitments at the start of each board meeting. This is as simple as the
organizer sending an email before the meeting.  Jim has been very good in
keeping the board informed and no changes are required in his case.
